how about announcing a particular date/time (once a week ??) .. when we can we a virtual meet for 30 mins or so .. it will be a much faster way of sorting some things out ?

Yes holding online meet's is a very good idea. Problems will get solved faster. Whenever i irc to irc.freeos.com no one is online.
